WordCamp Asia 2024 is fast approaching, and we would need passionate volunteers for it. Our Volunteers were vital in the WordCamp Asia, 2023 in Bangkok. Volunteers are crucial for any event to be a success, hence we are looking for one in various roles. Join us, if you are self-motivated, respectful and committed towards making the grand event a success.
Participating in this event and becoming an active member of the WordPress Community presents an excellent opportunity in your WordPress career. As a volunteer, your role may involve various responsibilities, including assisting speakers, managing the help desk, offering support to participants, overseeing the coordination of tools and equipment, arranging microphones, and handling other technical aspects.
We appreciate and acknowledge the distinct talents possessed by each individual. In light of your unique abilities and interests, our organizing team is highly adaptable in assigning you suitable responsibilities. You have the opportunity to volunteer in various capacities such as blogging, photography, design, or even website administration. Should you buy a ticket?
You can purchase a ticket when ticket sales have opened. If you are selected as a volunteer, we will be giving you a complimentary ticket to attend the event. Then you can transfer your purchased ticket to someone else.
Please note: If you have purchased a ticket and are selected as a volunteer, the tickets will be refunded. So, don’t have to wait for volunteer vetting process.
Visa Letter
If you require a visa to travel to Taiwan in 2024, let us know in your application so that we can send you a letter to make your visa application process smoother. This is not a letter of invitation, but it will state the following:
- That you are attending the event
- The dates of the conference
- The purpose of the conference

Room Staff
Hall Lead
Managing room staff volunteers and schedule.
Reports to: Program/volunteer team organisers.
Roles:
- Take charge and be responsible for Volunteers team organisers
- Act as a connector between Sponsors/Speakers/Volunteers
- Ensure that all Volunteers are in their position and performing the assigned tasks
- Coordinate with Team Leads for any complications

Time Keeper
Keep tracks of session time and remind speakers.
Reports to: Assigned Hall Lead
Roles:
- Communicate with the speakers and emcee about time limits and warning signs
- Coordinate with Hall Lead and ensure that talks start and end on time
- Explain the signs you’ll show the speakers to indicate the time and Show the ‘remaining time’ cards during their session
- Make sure everything is conducted within the given timeframe.

Runner
Assist Hall Lead in the room and run microphones.
Reports to: Assigned Hall Lead
Roles:
- Coordinate and assist the Hall Lead with anything that might be needed in the room
- Be ready to help with anything and everything and super speedy in resolving last-minute issues

Speakers Support
Ensure speakers are supported on the conference day.
Reports to: Program Team
Roles:
- Has the comprehensive knowledge of the session and speaker schedule
- Ensure that speakers arrive at the correct time
- Coordinate between speaker and technical team and make sure that speakers’ requirement is met
- Check and assist next speaker with their setup and anything they need

Attendee Services
- Registration Lead

Registration Lead
Manage and monitor the overall registration process.
Reports to: AX & Volunteer Team
Roles:
- Guide Attendees to Registration desks and make sure that everyone is registered to the event
- Keep track of Attendees registration
- Coordinate with Volunteers and Organising team
- Make sure you have good communication skills and effectively

Registration Support
Help everyone to check-in and information desk.
Reports to: AX & Volunteer Team
Roles:
- Provide information about the event
- Assist attendees with their seating position and find correct queues
- Check all details in tickets and hand out badges
- Handle spot registration and payment process (if available)

Swag Station Support
Smooth and coordinated distribution of swag to the attendees.
Reports to: AX & Volunteer Team
Roles:
- Set up the swag table and keep it in good order
- Check for swags and ensure their availability on tables
- Handout WordCamp Asia swag to Attendees and keep track of receivers

Accessibility Support
Reports to: AX Team
Roles:
- Assist attendees with additional needs.
- Be responsible for assisting people who might have disabilities or need assistance with using specific areas of the venue. You will need to know the specific areas which are wheelchair accessible (such as the elevator and the accessible access routes to each Track or Workshop).
- This role does not have limited scope and you might be asked to assist volunteers with various types of accessibility needs related to moving around the venue.

Information, Lost & Found Desk
Reports to: AX Team
Roles:
- Provide information to the attendees regarding the entire event. This could include information in relation to the venue areas, the tracks – even the schedule of events – these are just a few of the questions you will might be asked to answer.
- Involve supporting with the collation of lost & found items and be responsible for safe guarding them until the responsible person comes for them.

Media & Communications
Media Support
Secure the Press Room and assist our media partners.
Reports to: Communication Team
Roles:
- Contacting Media Partners and interviewees to remind them of their interview schedule, time, location and meeting point
- Showing them the location for the interview
- Timekeeping of the interview and the use of Press Room
- Standing by outside the Press Room, in case Media Partners and interviewees need some help.

Social Media Handler
Share event activities over social media through timely and engaging content.
Reports to: Communication Team
Roles:
- Keep updating about the event by sharing photos and videos of the event on WordCamp Asia social accounts
- Ensure that every comment and message are responded
- Help Attendees with social media if needed and ask them to use important #hashtag.
- Create a greater richness of the event through social media and you can be as creative, informative or humorous with the post as required.

Session Staff
Contributor Day Help Staff
Venue setup, direction guidance & tech help during the contribution day
Reports to: Contributor Day Team
Roles:
- Help in setting up chairs, tables and setup at the venue
- Track the number of attendees in each table before starting.
- Help onboard contributors on WordPress.org and Slack setup
- Guide new contributors navigate to make.wordpress.org
- Be open to questions, welcoming and friendly
- Help another volunteer on the conference day as Volunteer support

Interactive Program Support
Keep our interactive programs well supported.

- Check if sponsors need anything from start to end of the event.

Volunteer Support

- Assist Volunteers for anything they might need during their shift
- Provide support on other Volunteers shift

- Make sure that the volunteers are too Volunteered with all needs.
