To ensure the process remains clear, fair, and consistent with the values of the WordPress community, we\u2019ve created this transparency document. Whether you\u2019re a returning sponsor or considering joining us for the first time, this outlines exactly how the process works, what\u2019s expected, and how we\u2019ll work together.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>WordCamp Asia<\/strong>: Mission and Ethos<\/h2>\n\n\n\n<p>Like all official WordPress Community events, WordCamp Asia exists to make a high value conference as accessible as possible to the ecosystem.<\/p>\n\n\n\n<p><strong>Hence fundamentals of our mission:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Ensuring tickets remain affordable for attendees from diverse backgrounds.<\/li>\n\n\n\n<li>Keeping the event inclusive, accessible, and community-driven.<\/li>\n\n\n\n<li>Encouraging collaboration and knowledge sharing rather than commercial competition.<\/li>\n<\/ul>\n\n\n\n<p>Your sponsorship directly supports the costs of running the event, from venue logistics to accessibility initiatives, so that the community can thrive. Sponsorship packages are carefully designed to align with this ethos: they provide value for sponsors while preserving fairness and accessibility for attendees.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Sponsor Team<\/strong><\/h2>\n\n\n\n<p>The Sponsor Team is composed of volunteer WordPress contributors from across Asia. Their role is to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Review sponsorship applications with fairness and transparency.<\/li>\n\n\n\n<li>Ensure all sponsors align with the principles of open source, inclusivity, and knowledge sharing.<\/li>\n\n\n\n<li>Create packages that balance financial sustainability with meaningful sponsor visibility.<\/li>\n\n\n\n<li>Support sponsors through proactive communication and clear guidance.<\/li>\n<\/ul>\n\n\n\n<p>This collaborative approach ensures that WordCamp Asia 2026 continues to be accessible, affordable, and welcoming while offering sponsors authentic opportunities to connect with the community.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Application Process<\/strong><\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Call for Sponsors<\/strong><strong><br><\/strong>The process begins with the official Call for Sponsors announcement. Packages are available on a first-come, first-served basis until sold out.<br><\/li>\n\n\n\n<li><strong>Application Review<\/strong><strong><br><\/strong>\n<ul class=\"wp-block-list\">\n<li>All applications undergo careful vetting.<\/li>\n\n\n\n<li>Companies distributing WordPress-derivative works (themes, plugins, WordPress distros) must comply with the 100% <a href=\"https:\/\/www.gnu.org\/licenses\/gpl-3.0.html\" target=\"_blank\" rel=\"noreferrer noopener\">GPL<\/a> licensing model.<\/li>\n\n\n\n<li>Applications that do not align with community guidelines will not be approved.<br><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Notification &amp; Agreement<\/strong><strong><br><\/strong>\n<ul class=\"wp-block-list\">\n<li>Accepted sponsors receive an official confirmation and sponsorship agreement outlining the partnership terms.<\/li>\n\n\n\n<li>Applications that are not accepted will receive constructive feedback and suggestions for alternative ways to engage with the community.<br><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Ongoing Communication<\/strong><strong><br><\/strong>\n<ul class=\"wp-block-list\">\n<li>Once confirmed, our team works closely with sponsors to get contracts signed, finalize booth logistics, coordinate deliverables, and answer questions.<\/li>\n\n\n\n<li>Sponsors will also be invited to the exclusive Social Night Dinner, a chance to connect with fellow supporters and community leaders.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Sponsorship Rules &amp; Guidelines<\/strong><\/h2>\n\n\n\n<p>To maintain fairness and community spirit, the following rules apply:<\/p>\n\n\n\n<p><strong>Sponsors may provide:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Company name, logo, and established slogans.<\/li>\n\n\n\n<li>A single brand\/trade name is listed on their profile page (multiple brands may be mentioned in bios or materials).<\/li>\n\n\n\n<li>Contact information (email, website, phone).<\/li>\n\n\n\n<li>Factual displays of their products\/services.<\/li>\n\n\n\n<li>Printed or digital brochures, handouts, and factual price information.<\/li>\n\n\n\n<li>Verifiable incentives such as coupons or discount codes (<em>subject to approval<\/em>).<\/li>\n\n\n\n<li>Calls to action that are factual and value-neutral (<em>subject to approval<\/em>).<\/li>\n<\/ul>\n\n\n\n<p><strong>Sponsors may not provide:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Superlative or unverifiable marketing claims (e.g., \u201cthe best plugin ever\u201d).<\/li>\n\n\n\n<li>Materials implying endorsement by WordPress, the WordPress Foundation, or WordCamp organizers.<\/li>\n\n\n\n<li>Non-<a href=\"https:\/\/www.gnu.org\/licenses\/gpl-3.0.html\" target=\"_blank\" rel=\"noreferrer noopener\">GPL<\/a>-compatible products or services.<\/li>\n\n\n\n<li>Materials promoting spam, hate, or discriminatory practices.<\/li>\n<\/ul>\n\n\n\n<p><strong>Sponsors agree that:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>All materials must comply with WordPress community standards and may be reviewed by the WordCamp Asia team before or during the event.<\/li>\n\n\n\n<li>Organizers retain the right to request edits, removals, or cessation of practices that do not align with event guidelines.<\/li>\n\n\n\n<li>Selling physical goods onsite is prohibited due to varying regulations and liability concerns.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Code of Conduct Alignment<\/strong><\/h2>\n\n\n\n<p>All sponsors are expected to uphold the WordPress community\u2019s principles, which include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Respect for all people, regardless of race, gender, orientation, background, or beliefs.<\/li>\n\n\n\n<li>No incitement to violence, hate speech, or spam.<\/li>\n\n\n\n<li>Respect for the WordPress trademark and adherence to 100% <a href=\"https:\/\/www.gnu.org\/licenses\/gpl-3.0.html\" target=\"_blank\" rel=\"noreferrer noopener\">GPL<\/a> licensing for derivative works.<\/li>\n\n\n\n<li>Collaboration and kindness in all interactions with attendees, organizers, and volunteers.<\/li>\n<\/ul>\n\n\n\n<p>Please see the full code of conduct <a href=\"https:\/\/make.wordpress.org\/handbook\/community-code-of-conduct\/\">here<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Key Notes for Sponsors<\/strong><\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Sponsorship does not entitle companies to alter WordPress\/WordCamp trademark usage rules.<\/li>\n\n\n\n<li>The<a href=\"https:\/\/wordpressfoundation.org\/\"> WordPress Foundation<\/a> and WordCamp Asia organizers reserve the right to amend these guidelines at any time, without written notice to sponsors.<\/li>\n\n\n\n<li>Sponsorship is about partnership: supporting the event, gaining visibility, and fostering meaningful community engagement.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Our Commitment<\/strong><\/h2>\n\n\n\n<p>At WordCamp Asia 2026 in Mumbai, transparency is at the heart of everything we do.
